Starting Situation

In August 2022, Carsten Losch, the CEO of KNAUER Scientific Instruments GmbH, drew our attention. The Berlin-based company manufactures scientific laboratory measuring instruments for research, routine analysis, and quality assurance, and works worldwide with many dealers who sell these devices to end customers. KNAUER uses the Ninox software to manage the modular components of all systems. Both dealers and internal sales agents work with Ninox to compile individual offers for end customers.

However, a problem arose: many dealers did not adequately adopt the tool and instead created offers with external tools. As a result, KNAUER could not ensure data accuracy for created offers, and forecasts could only be calculated imprecisely.


Goals & Expectations

The requirement was to increase the user acceptance and satisfaction of Ninox among the dealers. To achieve this, the interface should be designed to be more appealing, and time in creating offers should be saved. Special emphasis was placed on ensuring that the sorting of offer items could be changed easily with 1 click. Furthermore, the new interface should encourage dealers to integrate reference customers.


Our Working Method

As part of a very agile work process, we go through various phases together with our clients. Since this case involved adapting an existing Ninox database, we went through the following process steps:


  • Kickoff Workshop & Follow Up Workshop

  • Design Draft with Framer

  • Design Adjustments based on Customer Feedback

  • Design Approval

  • Adjustment of Existing Data Structure (Database Clean Up)

  • Implementation of the Design in Ninox using HTML / CSS

  • Implementation of the Update and Sync Managers

  • Build of DEV, Stage, Live Environment

  • Customer Testing in a Stage Environment

  • Adjustments for Bugs & Requests

  • Go Live via Update & Sync Manager


A special priority for us is to intensively involve the customer in every step of the process and work towards a customer-oriented solution. In close cooperation with KNAUER, we were able to implement the customer's wishes quickly and efficiently.

We have developed a new Quotation Configurator with an app-like character that makes creating offers easy and efficient. To this end, we transformed the entire Ninox user interface for offer creation into a custom-designed interface (Custom Design). The new interface is characterized by the following features:

  • more app character

  • intuitive operation

  • guides the user more clearly through the offer process

  • visually significantly more appealing

  • significantly more clicks saved


Through smart filters and the subdivision into process steps, the view was simplified and the information overload reduced to avoid overwhelming users with fields and information. In addition to process optimization, we have developed and integrated the following special functions:


  • Comment function for individual items (including email notification)

  • Message Center

  • Manage & send messages directly from Ninox

  • Sorting of offer items with 1 click

  • Smart review process

  • To enable offers to be reviewed, we created a new process that directly integrates into offer creation.
